Terms of Use
Effective Date: September 11, 2026 · Last Updated: September 11, 2026
These Terms of Use (“Terms”) govern access to and use of the Qorum association management platform, available at qorum.ca and any organisation site created on it (each, an “Organization Site”), operated by Qorum (“Qorum,” “we,” “us,” or “our”).
By creating an account, creating an organisation, or otherwise using the Qorum platform, you agree to be bound by these Terms. If you are creating an organisation on behalf of an association, club, or other entity (an “Organization”), you represent that you have the authority to bind that Organization to these Terms, and “you” refers to both you and the Organization.
If you do not agree to these Terms, do not use the platform. Our Privacy Policy describes how we collect, use, and protect personal information, and is incorporated into these Terms by reference.
1. Accounts and Organizations
To use the platform you must create an account with an accurate first name, last name, and email address, and confirm that email address before an organisation can be created. You are responsible for maintaining the confidentiality of your password and for all activity that occurs under your account.
Each account may create one Organization. Organisation sites are hosted at qorum.ca/your-organisation-name — Qorum does not offer custom domains, and any suggestion otherwise on the platform or in our marketing should be disregarded.
You must be at least 18 years old, or the age of majority in your jurisdiction, to create an Organization and act as its administrator.
2. Free Trial
New Organizations begin with a 14-day free trial. No payment method is required to start a trial. If a subscription is not started before the trial ends, the Organization’s admin area becomes restricted — the Organization’s public site remains visible, but administrators and managers can no longer make changes until a subscription is started.
We do not guarantee the availability of any specific trial length and may change it for future signups; changes will not shorten a trial already in progress.
3. Fees, Billing, and the Setup Fee
Subscribing to Qorum requires payment of a recurring subscription fee and, for most Organizations, a one-time setup fee, both processed through our payment processor, Stripe. Current pricing is shown on the platform before you are charged. We do not store your payment card details — they are handled directly by Stripe.
The setup fee may be waived for a given Organization at our discretion; where it applies, it is a one-time charge collected alongside your first subscription payment, not a recurring cost.
Subscription fees are billed in advance on a recurring basis until cancelled. You authorise us (through Stripe) to charge your payment method for all fees incurred by your Organization.
Where your Organization collects membership dues or event ticket payments from its members through the platform, Qorum charges a platform fee on each payment. It is deducted automatically through Stripe before the payment reaches your Organization’s Stripe account, and is shown against each payment in your admin area. If your Organization refunds a payment, Qorum’s platform fee on it is not returned.
4. Cancellation and No Refunds
You may cancel your subscription at any time. Cancellation takes effect at the end of your current paid billing period — you retain full access until then, and are not billed again afterward.
Fees already paid, including the setup fee, are non-refundable, except where required by applicable law. Because every subscription is preceded by a 14-day free trial, you have the opportunity to evaluate the platform in full before any charge occurs.
This section covers fees paid to Qorum. Membership dues and event tickets that members pay to an Organization are collected by that Organization through its own Stripe account, and refunds of those payments are the Organization’s decision. See our Refund Policy.
An Organization whose trial lapses without subscribing, or whose subscription is cancelled, may remain on the platform in a restricted state indefinitely; we may archive or remove long-dormant Organizations after reasonable notice to the account that created them.
5. Acceptable Use
You agree not to:
- Create an Organization that impersonates, or falsely claims affiliation with, another person or entity
- Use the platform to send unsolicited bulk communications, or in a manner that violates applicable anti-spam legislation (including Canada’s CASL)
- Attempt to circumvent rate limiting, CAPTCHA, slug-reservation, or other technical safeguards on the platform
- Use the platform to collect, store, or process personal information unlawfully, or in violation of your own obligations to your members
- Interfere with or disrupt the integrity or performance of the platform or the data it contains
- Use the platform for any unlawful purpose, or to facilitate the payment processing of unlawful goods or services
We may suspend or terminate an Organization that violates this section, with or without notice, particularly where impersonation, abuse, or a security risk is involved.
6. Your Content and Your Members’ Data
Your Organization retains ownership of the content it creates on the platform (event listings, news posts, custom pages, email campaigns) and of the member data it collects through the platform. We process that data on your Organization’s behalf, as described in our Privacy Policy.
As an Organization administrator, you are independently responsible for your own compliance with privacy, consumer protection, and anti-spam laws that apply to how you collect, use, and communicate with your members — the platform provides tools, not legal compliance on your behalf.
You grant Qorum a limited license to host, store, and display your Organization’s content and data solely as necessary to provide the platform to you.
7. Qorum’s Intellectual Property
The Qorum platform, including its software, design, and branding, is owned by Qorum and protected by applicable intellectual property laws. These Terms do not grant you any right to use Qorum’s name, trademarks, or branding except as reasonably necessary to identify your use of the platform (for example, a “Powered by Qorum” attribution, where shown).
8. Third-Party Services
The platform relies on third-party services to operate, including Stripe (payments), Supabase (database and authentication), Resend (transactional email), and Vercel (hosting). Your use of the platform is also subject to the applicable terms of those providers where you interact with them directly (for example, entering payment details into Stripe’s checkout).
9. Termination
You may stop using the platform at any time; cancelling your subscription does not delete your Organization’s data automatically. We may suspend or terminate access to the platform, in whole or in part, if you breach these Terms, if required by law, or if continued provision of the service becomes impractical.
Sections of these Terms that by their nature should survive termination (including Sections 4, 6, 7, 10, and 12) will survive.
10. Disclaimers
The platform is provided “as is” and “as available,” without warranties of any kind, whether express or implied, including implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the platform will be uninterrupted, error-free, or completely secure.
11. Limitation of Liability
To the maximum extent permitted by applicable law, Qorum will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of profits, revenue, data, or goodwill, arising out of or related to your use of the platform. Our total liability for any claim arising out of or relating to these Terms or the platform will not exceed the amount you paid to Qorum in the twelve (12) months preceding the event giving rise to the claim.
Nothing in these Terms limits any liability that cannot be limited under applicable law.
12. Indemnification
You agree to indemnify and hold Qorum harmless from any claims, damages, or expenses (including reasonable legal fees) arising out of your Organization’s content, your violation of these Terms, or your violation of any law or the rights of a third party, including your own members.
13. Changes to These Terms
We may update these Terms from time to time to reflect changes to the platform or applicable law. When we make changes, we will update the “Last Updated” date above and, for material changes, provide at least 14 days’ advance notice to Organization administrators by email. Continued use of the platform after a change takes effect constitutes acceptance of the revised Terms.
14. Governing Law
These Terms are governed by and construed in accordance with the laws of Canada and the province in which Qorum operates, without regard to conflict-of-law principles. Any dispute arising out of these Terms will be subject to the exclusive jurisdiction of the courts of that province.
